What is Electronic Data Interchange?
Electronic Data Interchange, commonly referred to as EDI, is the ability for one company to send information or data electronically to another company using a standardized format.
Why use EDI?
If you are a manufacturer, distributor or any other business looking to become an approved vendor of a large retailer (i.e. Wal-Mart, Costco, Home Depot, etc.), as a supplier you will be required to transmit and receive documents (data) electronically in the retailers’ specified format and communications protocols. The problem is most businesses can’t afford or would prefer not to invest in each of the required data format systems which can vary from retailer to retailer. This is where an experienced EDI provider can implement an EDI solution to translate data and manage the back and forth data transactions.
How does EDI work?
Though the technical process of EDI is quite complicated, the concept of how EDI works is rather simple. Documents/Data (.xls, .doc, .pdf, .xml, etc.) from the sending company are entered/uploaded into an EDI platform. The EDI platform takes the data files and translates them into whatever format the receiving company requires and then transmits the files to the receiving company. This process works seamlessly back and forth between the two companies.
Who provides EDI services?
Choosing a company to provide EDI services for your company is an important decision and needs to be carefully thought through. During your research, you will come across a number of companies promoting their EDI service, but you will need to make sure the company you choose provides all the EDI services you need, plus has the EDI experience you require.
Questions to ask when considering EDI service companies:
- How many EDI implementations have they performed?
- How many secure EDI transactions have they processed?
- Can they translate all forms of documents/data into all formats required?
- Can they manage and maintain the entire EDI process?
- Can they help you eliminate chargebacks and testing delays?
- Do they offer live customer support or only email (or none)?
- Will they act as an intermediary with retailers if needed?
- Can they offer technical or programming assistance if needed?
- How long have they been in business?
- Can they eliminate errors and speed up time to market?
